Access Reports, Charts and Adhoc Queries

To access Reports, Charts and Adhoc Queries:

Note: Administrators have access to Reports, Charts and Adhoc Queries by default.

If you are an Administrator or Super User, by default, you are able to report and chart all records in the TriLine GRC system.

All other Users reports and charts are filtered to the records they have security access to.

Opening Reports and Charts

Open Reports and Charts from the Main Menu:

  1. Select one of the main menu options Compliance, Risk, KRI, (Events), Contracts, Obligations for an entity specific report or chart. Or select Reports from the main menu for a generalised report.

  2. Choose a Report or Charts from within that menu Report or Chart section.

    Note: The ‘Tasks Not Completed’ menu option will only appear if ‘Show Not Completed Button’ is configured to display.
    The ‘Taxonomy’ menu option will only appear for administrators.

  3. The selected Report or chart is displayed with its Settings Page.

About Reports and Charts

Reports and Charts allows you additional ways of viewing and reporting the records contained within your TriLine GRC system.

Some Reports and Charts contain additional Reports and Charts that you can select within that Report’s or Chart’s Settings. These are shown in the table below (in the Settings ‘Select Report’ column).

Saving Reports and Charts Settings

If you find yourself often creating and filtering a particular Report or Chart, you can save the Report or Chart settings and then access the customised Report or Chart from the Main Menu Reports | Saved Reports/Charts whenever you need to.

See Save Report/Chart Settings for more information.

Set Report Filters and Run Report

Note: Only members of the ‘View Reports’ Security Group (and Administrators) can create and view reports. If no Positions are added to the ‘View Reports’ Security Group then all Positions can create and view Reports. Records displayed in Reports is security filtered.

  1. Select a Report (see Opening Reports and Charts), or if you already have a report open, click the Settings icon.

  2. The ‘Settings’ popup window is displayed (‘Risks’ Report settings shown).

  3. Where available, click the ‘Select Report’ drop-down list and select a Report (‘Risks’ Report drop-down list shown). Selecting different Reports will change the display Filters and Options.

    Note: The options shown in the ‘Settings’ popup window will be different for each Report.

  4. Select Report Filter criteria from the available drop-down lists. Using the ‘Risks’ Report as an example:

    As you select the Filter criteria, they are displayed in the ‘Applied Filters’ List.

  5. To remove a Report Filter:

  6. Where available, you can group Report information by selecting criteria from the ‘Group By’ drop-down list (e.g. ‘(Business Unit)’).

  7. You have the option of setting your own Report Title by typing text in the ‘Report Title’ field.

  8. Click the Run Report icon to apply the Report Filters and display the Report Page(s).

Note: The contents of the Report will be limited by Security settings.

  1. Run the Report (See Set Report Filters and Run Report).

  2. The ‘Report’ Panel is displayed.

  3. Navigate (1 & 10), search (6), print (3 & 4) and save (5) the Report Using the Report Preview Page Toolbar.

1 ‘Reports’ type
In this report example, this is ‘Risk Reports’.
2 Page Navigation Panel
Use the controls in this panel to move between Pages of the report, toggle the multi page and zoom in and out of the content.
3 ‘Print’ icon
Click the ‘Print’ icon to print the entire report.
4 ‘Print Page’ icon
Click the ‘Print Page’ icon to print the current displayed page of the report.
5 ‘Export To’ icon
Click the ‘Export To’ icon to Save a copy of the report in your preferred docuement or image type. Refine your ‘Export To’ settings in item 3 ‘Export Options’ in Additional Report Features.
6 ‘Search’ icon
Click the ‘Search’ 6 icon to search the report. Click the Collapse icon > to hide this panel.

Click this icon to display basic information about working with the Report Page.
8 ‘Report Settings’ icon
Click this icon to display the Report settings window.
9 ‘Save Report Settings’ icon
Click this icon to display the Save Report Settings window.

This is the your requested Report.

Additional Report Features

On the right hand side of each report is an expand icon < 1 which, when clicked, reveals more features. Clicking this icon >, will hide the additional features.

1 ‘Expand’ icon
Click this icon to Open the additional features and options panel.
Once open, this icon changes direction to be represent the Collapse icon. Use the Collapse icon to again hide the additional features and options.
2 ‘Parameters’ icon
This icon does not appear on all reports. Click this icon to display additional Sort options of the data in the report. Click the Collapse icon > to hide this panel.

Click this icon to display additional Export Options. Use these options in conjunction with item 5 above. Click the Collapse icon > to hide this panel.

4 ‘Search’ icon
Click this icon to display the search panel. Enter values here to search the report. Click the Collapse icon > to close this panel.

Click this icon to display a Document Map of your Report. Use the Document Map to quickly traverse this report. Click the Collapse icon > to close this panel.

Display a Chart

Note: Only members of the ‘View Reports’ Security Group (and Administrators) can view Charts. If no Positions are added to the ‘View Reports’ Security Group then all Positions can view Charts. Records displayed in Charts is security filtered.

  1. Select a Chart (see Opening Reports and Charts). Example from the main menu select Risk | Risk Rating / (Risk Score) Summary.

1 ‘Risks’ charts
In this example we are looking at ‘Risks’ charts.
2 ‘Select Chart’ option
Some charts have an additional chart selection option. These charts will open with records matching the first selection.

Note: Only some charts have the ‘Select Chart’ option.

3 ‘Chart’ Title
The Chart title can be changed, from the defaulted ‘Select Chart’ name, in Chart Settings 3.
The Chart title can be used to copy the chart image to the clipboard; see Copy a Chart.
4 ‘Chart Settings’ icon
Click this icon to display the chart ‘Settings’ window. Set the chart type, filters and title here. Also access chart printing icon from this window.
5 ‘Save Chart Settings’ icon
Click this icon to display the Save Chart Settings window.
6 ‘Chart’ image
The selected Chart is displayed according to the Chart Settings 3.
7 ‘Chart’ click through to report
Click any ‘slice’, ‘bar’ or ‘line’ of a chart to display a detailed report of the data for that part of the Chart.

Note: Not all charts have click through.

8 ‘Chart’ colour matching
Some charts display matching colours to configuration settings.

Set Chart Type and Filters

  1. Display a Chart. Example from the main menu select Compliance | Risk Rating.

  2. Click the Chart Settings icon.

  3. The Chart ‘Settings’ popup window is displayed.

  4. Where available, click the Chart Type drop-down list and select a Chart Type.

    Note: The options shown in the ‘Settings’ popup window will be different for each Chart.

  5. Select Chart Filter criteria from the available drop-down lists. For example:

    As you select the Filter criteria, they are displayed in the Applied Filters List.

  6. To remove a Chart Filter:

  7. Optional set the Chart Title by typing text in the Chart Title field.

  8. Click the icon to apply the Chart Filters and return to the Chart Page.

Note: The contents of the Charts are Security filtered.

Print a Chart

  1. Display a Chart and click the Chart Settings icon. The Chart Settings window is displayed. Click the icon to print the Chart.

Copy a Chart

Charts can be copied and pasted into documents, spreadsheets and presentation tools to enhance external reports.

  1. Display a Chart.

  2. Right click in the title area as highlighted in 1. Select Copy (relevant to your browser). This copies an image of the Chart to the clipboard.

  3. Switch to your document editor, spreadsheet and presentation tool and choose paste the bitmap. For example to paste into Word:

  1. Run a Report or Display a Chart with the desired Filter settings.

  2. On the Report or Chart Page, click the icon. The respective Save settings window is displayed. In this example, the selected report is ‘Risk Lists’ and the chart is 'Compliance ‘Risk Rating’.

  3. Click the icon 4 to save the Report/Chart Settings.

1 ‘Description’ field
Enter a description for the Report/Chart to inform what the Report or Chart displays (e.g. ‘Financial Risk List’).
2 ‘Set Dates’ fields
If the ‘Set Dates’ fields are visible, select the ‘Number of Periods’ and the ‘Period Type’ from the respective drop-down lists. For example, if displaying the last quarter’s Financial Risks, select ‘Number of Periods: 3’ and ‘Period Type: Calendar Months’. This Report will start from the previous date period, so a Report generated on the 7th of July will cover April, May and June.

Note: The ‘Set Dates’ fields are only displayed if they are a Filter criteria for the Report or Chart.

3 ‘Public’ selector
Select whether the saved Report or Chart will be available for all Positions (Public), or restricted only to the Position saving the Report or Chart.
4 ‘Save Settings’ icon
Click the icon to save the Report/Chart Settings.
5 ‘Cancel’ icon
Click the cancel icon to close the Report/Chart Settings window without saving.

Note: You can access your saved Reports/Charts from the Main Menu—see View saved Reports/Charts.

  1. From the Main Menu, select Reports | Saved Reports/Charts.

  2. The ‘Saved Reports/Charts’ Page is displayed.

  3. Select a tab as follows:

My Reports Reports that you have saved for your own use (i.e. ‘Public’ option not selected).
Public Reports Reports that you have saved as ‘Public’.
Reports that other Positions have created and saved as ‘Public’.

  1. Click the icon alongside your chosen Report/Chart to view it.

Edit saved Report/Chart Settings

Notes:

Only the creator of a public Report or Chart (and an Administrator) can make changes to that Report or Chart.

The changes that can be made include changing the Report/Chart Title and Description, and whether or not the Report/Chart is ‘Public’. To change the Filter criteria:

  1. From the Main Menu, select Reports | Saved Reports/Charts. The ‘Saved Reports/Charts’ Page is displayed. Click the icon alongside your chosen Report/Chart to edit it.

  2. The ‘Edit My Report’ (or ‘Edit My Chart’) popup window is displayed.

  3. Edit the ‘Description’, ‘Public?’ and ‘Title’ fields as desired, then click the icon to save your changes.

Delete saved Report/Chart Settings

  1. From the Main Menu, select Reports | Saved Reports/Charts. The ‘Saved Reports/Charts’ Page is displayed. Click the icon alongside your chosen Report/Chart to delete it.

  2. A ‘Confirm Delete’ dialog is displayed. Click OK to delete the saved Report/Chart.
