About Record Status

If a Compliance, Risk or KRI record is no longer current, but you do not want to delete the Record, the status can be changed from Active to Inactive.

Inactive Records are excluded from lists and reports by default (see Including Inactive Records in Lists) and email notifications are not sent for any Inactive Records.

Event Record Status

Event Records also have a ‘Status’ field, but this field applies to an Event’s progress through the reporting and management process. See Event Status in the Glossary.

Contract Record Status

Contract Records also have a ‘Status’ field, but this field shows if a Contract is current.

Including Inactive Records in lists

Inactive records are excluded from lists by default. You can include records with an Inactive status in Compliance, Risk and KRI lists.

Deleted Records

When a Compliance Process, Risk, KRI, (Event) or Contract is deleted, it is not instantly removed from the system—the record is retained with a status of ‘To Be Deleted’ for a period of time defined by the ‘Deletion Days’ field on the ‘Maintenance’ tab in the TriLine GRC Configuration Page (Adminstrators select Maintenance | Configuration from the Main Menu). Deleted records effectively stay out of view unless the status filter on that records List is changed to see these records.

Once the retention period has elapsed, the TriLine GRC Monitor deletes the Record from the database. For example, if you were to delete a record on 28 March 2016 and the ‘Deletion Days’ setting is 90 days, the TriLine GRC Monitor will not delete the record till 26th June 2016 (90 days' time).

You can recover a Record before the Deletion Date. See Recover a Deleted Record for more information.

Tip:
Run the ‘Records to be Deleted’ report periodically to ensure that Records are not destroyed in error. Select Reports | Records to be Deleted from the Main Menu.

Procedures

Change the Status of a Record

  1. Open the desired Compliance, Risk or KRI Record.

  2. Click the ‘Process Detail’ tab (Compliance Processes), ‘Risk Details’ tab (Risk) or ‘Details’ tab (KRI) of the record as appropriate.

  3. Click the ‘Status’ (or ‘Record Status’) field’s icon and select the required Status from the drop-down list.

  4. Click the icon to update the Record.

Including Inactive records in the Records List

  1. Select the required page from the Main Menu:

  2. In the ‘Status’ Column Header of the Record List, click the icon. The Column Filter List is displayed.

  3. Tick ‘Inactive’ and click the OK button.

  4. The Inactive Records will now be displayed in the list.

Recover a Deleted Record

Note:
This procedure is only effective until the Retention Period defined by the ‘Deletion Days’ setting has elapsed. After this time, the Record no longer exists in your TriLine GRC database.

Displaying ‘To Be Deleted’ Compliance, Risk, KRI or Contract records

  1. From the Record List, click the Status filter 1 icon.

    Note: If ‘To Be Deleted’ is not displayed, there are no records to be recovered.

  2. Deselect status Active and Inactive. Select ‘To Be Deleted’ 2.

  3. Click OK 3.

  4. The ‘To Be Deleted’ records will be displayed.

Displaying ‘To Be Deleted’ (Event) records

  1. Show the (Events) list by selecting from the main menu (Events) | Work with (Events).

  2. Select ‘Show Closed records’ 1 if you require to see these records.

  3. Select ‘Show records to be deleted’ 2.

  4. Check filtering options 3 to ensure expected records are being displayed.

  5. The ‘To Be Deleted’ records 4 will be displayed.

Recover the ‘To Be Deleted’ Record

Recover a Compliance, Risk, or KRI Record
  1. Follow instructions above to display the ‘To be Deleted’ record.

  2. Open the Record with the Status ‘To Be Deleted’.

    Tip: Another way of finding deleted Record is to run the ‘Records to be Deleted’ Report (select Reports | Records to be Deleted from the Main Menu).

  3. Select the Record’s ‘Details’ tab.

  4. Click the ‘Status’ or ‘Record Status’ field and then select either ‘Active’ or ‘Inactive’ from the drop-down list.

  5. Click the icon to update the Record.

  6. The record will no longer be deleted.

Recover an (Event) Record
  1. Follow instructions above to display the ‘To be Deleted’ record.

  2. Open the Record with the Status ‘To Be Deleted’.

  3. Click the un-delete icon.

  4. Click the icon to update the Record.

  5. The record will no longer be deleted.

Recover a Contract Record
  1. Follow instructions above to display the ‘To be Deleted’ record.

  2. Open the Record with the Status ‘To Be Deleted’.

  3. Change the Current End Date to a future date.

  4. Click the icon to update the Record.

  5. The record will no longer be deleted.
