Note: Administrators can restrict Portal user access to selected domains. See configuration section Managing Domain Names for more information.

Who can use the Portal

The TriLine GRC Portal allows the creation of Events and Register records, and if the module is installed, for Documents to be read and downloaded.

The Portal can be made available to all members of your organisation. Existing TriLine GRC users automatically have access to the Portal with their current login credentials.

All portal users must have their own login credentials. Login credentials can be allocated by your Administrator, or via the self registration process using the Register link on the Portal login screen.

To registered and obtain a Portal User id, see Self Register as a Portal User for more information.

All new Events and Registers created in the Portal are automatically recorded to the TriLine GRC system. The Owners of each Event and Register type will process these records in the TriLine GRC system.

Depending on the configuration of your Portal, a Portal User may also review all of their Event and Register records here while the record is not Closed.

How to get to the Portal

If you have receive a notification email informing you that you are registered to use the Portal, following the instructions in that email. Otherwise:

Use your web browser to access the Portal URL:

  1. In your browser’s address bar, type the URL for your organisation’s Portal. This will be in the form:

https://site/portal.aspx

where site is the address of your system. Contact your Administrator for these details.

Add this site to your Browser Favourites or Bookmarks for easy access next time.

Procedures

Login to the Portal

Depending on how your Administrator has configured your Portal will determine if you will be required to entered a Security Code when logging in.

Login with Single Sign On (SSO)

  1. Enter the Portal URL into your browser (or click your Portal favourites link).
  2. You will be automatically login and be presented with the Portal page.

Login (without a Security Code requirement)

  1. Enter the Portal URL into your browser (or click your Portal favourites link). The Portal login screen will appear.

  2. Enter your TriLine GRC or Portal User ID in the User ID field 1, press tab,

  3. Enter your TriLine GRC or Portal Password in the Password field 2,

  4. Press Enter or , or click the Login icon 6. If your credentials are correct, you will be logged in.

Login with a Security Code

  1. Enter the Portal URL into your browser (or click your Portal favourites link).

  2. Enter your TriLine GRC or Portal User ID in the User ID field 1, press tab,

  3. Enter your TriLine GRC or Portal Password in Password field 2, press tab twice,

  4. Enter the displayed Security code 3 into the Security code field 5,

  5. Press enter, or alternatively click the Login icon 6. If your credentials are correct, you will be logged in.

Note: The displaying of 3, 4 and 5 is determined by the settings configured by the Administrator.

ID Element Description
1 ‘User Id’ field This is either your TriLine GRC or Portal User ID.
2 ‘Password’ field This is either your TriLine GRC or Portal password
3 Security code Enter the value presented into the Security code field 5.

Note: A different code is presented each time the login screen is displayed.
4 ‘Show another code’ icon Click this icon to change the value display in the Security code 3.
5 ‘Security code’ field Enter the value displayed in the Security code 3. If there is difficulty reading the value in the security code 3, use Show another code 4 to change the value.
6 ‘Login’ icon Click this icon to trigger a login attempt to the Portal.
7 ‘Register’ link If you do not have a login, click this link to self register yourself (see Self Register as a Portal User).

Note: If you do not have a company email address, do not use this link. Instead communicate with your Administrator to create a Portal user id and password for you.
8 ‘Forgot your password’ link If you have forgotten your password, click this link (See Resetting a forgotten password.

Note: If you are Portal User without a company email address, do not use this link. Instead communicate with your Administrator to have your Portal password reset.
9 ‘Password safety’ rating A 5 Star password consists of at least 8 characters made of at least:
1. one lowercase letter
2. one uppercase letter
3. one number
4. and one of these special characters !@#$%^&*=

Self Register as a Portal User

Note: If your site is setup as Single Sign On (SSO), do not use Self Register. Instead, request your Administrator to create a Portal user id and password for you.

Note: If you do not have a company email address, do not use this Self Register. Instead, request your Administrator to create a Portal user id and password for you.

If you do not have a TriLine GRC login, or a Portal User login, (and the two previous caveats do not apply) you may Self Register as a Portal User.

  1. From the Login screen, click the Register link (see item 7 above). The following Portal User Registration screen will display:

  2. Enter your details. All fields are mandatory. The email address must be in a valid domain of your company. The Password must be at least 8 characters long and be of 5 star strength.

  3. Click the forward 12 icon to complete the Self Registration process. If successful, a notification email is sent, check your Inbox. Depending on your Site’s configuration, you will either receive a :

ID Element Description
1 ‘User Id’ field This is either your TriLine GRC or Portal User ID. Follow your company recommended user id format.
2 ‘First Name’ field Enter you First Name.
3 ‘Surname’ field Enter your Surname.
4 ‘Business Title’ field Enter your full company business title.
5 ‘Email’ field Enter your company email address.
6 ‘Password’ field Enter a password at least 8 characters long and of 5 star strength. Capitals, numbers and special character increase strength.
7 ‘Password Strength’ icon This indicates the strength of the password enter in the Password field 6. A Password safety rating of 5 Stars consists of at least 8 characters made of at least:
1. one lowercase letter
2. one uppercase letter
3. one number
4. and one of these special characters !@#$%^&*=
8 ‘Confirm password’ field Duplicate the password you typed in the Password field 6.
9 ‘Secret Question’ selector Select one of the Secret Questions.
10 ‘Answer’ field Type an answer to the question you selected in 9.
11 Cancel Registration Icon Click this icon to leave this page and cancel the registration process.
12 Complete Registration Icon Click this icon to complete your registration process.

Open the Confirmation email notification and click the Activate… link:

The link will open to the Portal login screen and display that the activation was successful. Enter your login details:

Additionally you will also receive a notification email:

When the Administartor approves your Portal request, you will receive an email notification with a link to the Portal login screen. Click the URL to the Portal. Enter your login details:

The Portal will display.
