The Documents Library, in the same sense as a traditional book library, is the go to place to read your organisations electronic published documents. It is the place to record yourself as having read a published document as per the requirements of your organisation.
Each published document is in a restricted area of the Document Library. Only TriLine GRC Positions and Portal Users with the correct access can view each document. Further restrictions can be placed on whether the document is allowed to be downloaded.
A Document review task can be scheduled at the required frequency to ensure the published version is up to date.
The Document Library provides the facility to create ‘Read and Certify’ tasks for each document, for the required users, as each new version of a document is published. Each of these users are then responsible for acknowledging that they have read the required document.
The Document Library has facilities to track who has viewed each published document and who has downloaded the published document.
Previous or Superseded versions of the Published document are retained for historical referral purposes and can be accessed by positions with the correct security access.
The Document Library is not a document creation and version management system. These functions must be done outside of TriLine GRC. It is not till you have a final version of your document, that you publish (update) it to the TriLine GRC Document Library.
If a document is configured as a Portal document, all users of the Portal and TriLine GRC system will be able to view the document.
Note: only current documents will display for Portal users; Obsolete and To Be Deleted document will not display.
Otherwise, normal TriLine GRC security access will apply.
