The Control Inventory Configuration Process

The Administrator must configure your Control Inventory Module before you can use it to manage your Control Inventory.

Configuring your Control Inventory Module involves:

Note: Each Control Inventory record can define its own unique Custom Fields if required, however there is no universal Custom fields covering the module.

Enable the Control Inventory module

Notes:
Only administrators can access the Configuration to enable the Control Inventory module.
Changes made to the Configuration settings will affect the whole Module—take care when making changes.

Select Show Control Inventory switch to ON 2 to show the Control Inventory Module menu items. Change the Control Inventory module Title 3 if that is required. Save these changes.

The Control Inventory main menu will now display for all positions that have the correct security access. Initially this will be Administrators and Control Inventory Administrators.

The ‘Control Inventory’ section settings

  1. From the main menu select Maintenance | Configuration.

  2. On the General tab, click the Control Inventory Section to open that section.

  3. Select Show Control Inventory 2 to allow the display of the Control Inventory main menu item.

  4. If required, change the name of Control Inventory 3

  5. If required, select Effectiveness Change 4 to require a note to be added if the Effectiveness is changed when a Control Inventory record is edited.

  6. To Save any changes, hover over, or click the Menu Options (Hamburger) icon. Click the Save option.

  7. Press Control + F5 to clear the browser cache and reload the page to display the new menu item.

ID Element Description
1 ‘Control Inventory’ section Click this section to open or close this section.
2 ‘Show_Control_Inventory’ switch Click this switch on if the Control Inventory module is to be enabled. When disabled, the Main Menu options will not appear for this module.
3 ‘Title’ field Set this value to customise the Title you wish to use for Control Inventory.
4 ‘Effectiveness Change’ switch Click this switch on if you require a note to be added whenever the Effectiveness is changed.

Accessing the ‘Control Inventory’ Maintenance menu items

Once the Control Inventory menu is enabled, from the main menu select Control Inventory to see the Maintenance menu items.

Note: Only Administrators and Control Inventory Administrators can see these menu items.

  1. Select Effectiveness to create and manage these records.
  2. Select New Record Help to update new Control Inventory record assistance.
  3. Select Types to create and manage these records.

Procedures

Customising the Control Inventory name

The Control Inventory title can be changed to match the naming standard of your organisation.

  1. From the main menu, select Maintenance | Configuration.
  2. On the General tab, click the Control Inventory chevron to open that section.
  3. Change the name of Control Inventory 1 to your new name.
  4. Click the Save icon 2 to update the configuration.
  5. Press Control + F5 to clear the browser cache of this page to display the new menu item.

Creating and managing Control Inventory Types

About Control Inventory Types

Control Inventory Types identify the different types of Controls you wish to monitor in your organisation. Control Inventory Types can be grouped in reports and lists.

Administrators can create and manage Control Inventory Types via the ‘Control Inventory Types’ page.

Accessing the ‘Control Inventory Types’ Page

  1. From the main menu, select Control Inventory | Types.
  2. The Control Inventory Types page is displayed.

1 ‘Show Help’ icon Click to see some basic instructions for working with the ‘Control Inventory Types’ Page.
2 Text Search Filter Enter some text to display only those Control Inventory Types list entries that match this text.
3 ‘New Control Inventory Type’ icon Click to add a new Control Inventory Type.
4 List of Control Inventory Types This List displays all Control Inventory Types in your system.

Note:
Not all Control Inventory Types may be displayed if a Text Filter 2 has been applied.
5 ‘Edit’ icon Click this icon to edit the name of the Control Inventory Type.
6 ‘Delete’ icon Click this icon to delete the related Control Inventory Type.

Note:
A Control Inventory Type without a ‘Delete’ icon displayed indicates that this Control Inventory Type is current allocated and cannot be removed.

Adding a Control Inventory Type

Administrators can add a new Control Inventory Type by accessing the ‘New Control Inventory Type’ popup window:

  1. On the ‘Control Inventory Type’ Page, click the ‘New Control Inventory Type’ icon 3.
  2. The ‘New Control Inventory Type’ popup window is displayed.
  3. Enter a new unique Type 1 and click the update icon 3.

1 ‘Type’ text box Type a unique name for the Control Inventory Type in this text box.
2 ‘Update’ icon Click this icon to add the new Control Inventory Type.
3 ‘Close’ icon Click this icon to close the ‘New Control Inventory Type’ popup window without adding the new Type.

Editing a Control Inventory Type

Administrators can edit a Control Inventory Type by accessing the ‘Edit Control Inventory Type’ popup window:

  1. On the ‘Control Inventory Type’ Page, click the ‘Edit’ icon 5 for an Control Inventory Type.
  2. The ‘Edit Control Inventory Type’ popup window is displayed.
  3. Enter a new unique Type 1 and click the update icon 3.

1 ‘Type’ text box Modify the Control Inventory Type name—make sure the new name is unique.

Deleting a Control Inventory Type

Administrators can delete an Control Inventory Type via the ‘Control Inventory Type’ Page:

  1. On the ‘Control Inventory Type’ Page, click the ‘Delete’ icon 6 for an Control Inventory Type.
  2. The ‘Confirm Delete’ dialog is displayed.
  3. In the ‘Confirm Delete’ dialog, either:

A Control Inventory Type without a ‘Delete’ icon displayed indicates that this Control Inventory Type is current allocated and cannot be removed.

About Control Inventory Effectiveness

A Control Inventory Effectiveness identifies how well the control is currently performing. Control Inventory Effectiveness can be grouped in reports and lists.

Administrators can create and manage a Control Inventory Effectiveness via the ‘Control Inventory Effectiveness’ Page.

Accessing the ‘Control Inventory Effectiveness’ Page

From the Main Menu, select Control Inventory | Effectiveness.

Control Inventory Effectiveness has an Initial value of Not Rated which, together with its definition, can be changed, but not removed.

4 ‘Save’ icon Click this icon to save changes made to the Initial Effectiveness 2 and Definition 3.
5 ‘New Control Inventory Effectiveness’ icon Click to add a new Control Inventory Effectiveness.
6 Text Search Filter Enter some text to display only those Control Inventory Effectiveness list entries that match this text.
7 List of Control Inventory Effectiveness This List displays all Control Inventory Effectiveness in your system.

Note:
Not all Control Inventory Effectiveness may be displayed if a Text Filter 2 has been applied.
8 ‘Edit’ icon Click this icon to edit the name of the Control Inventory Effectiveness.
9 ‘Delete’ icon Click this icon to delete the related Control Inventory Effectiveness.

Note:
Control Inventory Effectiveness with no ‘Delete’ icon displayed are allocated and cannot be removed.
10 ‘Move Record Up’ icon Select a Record in the list 7 and then click this icon to move the selected Record towards the top of the list.
11 ‘Move Record Down’ icon Select a Record in the list 7 and then click this icon to move the selected Record bottom the top of the list.

Adding a Control Inventory Effectiveness

Administrators can add a new Control Inventory Effectiveness by accessing the ‘New Control Inventory Effectiveness’ popup window:

  1. On the ‘Control Inventory Effectiveness’ Page, click the ‘New Control Inventory Effectiveness’ icon 5.
  2. The ‘Add New Effectiveness’ popup window is displayed.
  3. Enter a new unique Effectiveness 1, a Definition 2, select a colour 3, and click the update icon 4.

  3. Enter a new unique Effectiveness 1, a Definition 2, select a colour 3, and click the update icon 4.
